Job description
Under the supervision of the Director, Operations and Information Technology, the Supervisor, Portfolio Administration, will manage the
Portfolio Administrators within the team and oversee operational functions related to Portfolio Administration (regulation, reconciliation,
problem solving, etc). In collaboration with team members, the incumbent elaborates and implements continuous improvement
initiatives in relation to systems, processes, & business processes.
As part of his duties, the incumbent will be assigned the following responsibilities:
Operational Efficiency
Monitor all internal and external (custodians and brokers) requests
Monitor key daily activities ensuring accuracy and best practices are being followed
Liaise with custodians, brokers and internal departments to ensure the timely execution of department functions
Develop and maintain business relationships with external service providers
Accomplish NI 24-101 transaction matching objectives, including preparation of monthly management reports
Review business processes to improve efficiencies, reduce costs and mitigate risks
Play a leading role in defining and implementing continuous process improvements of the department’s policies and procedures
Systems Maintenance
Ensure the accuracy and the quality of information in systems and client records
Maintain and support all databases and systems used by the department including portfolio setup and closing
Participate in the testing and implementation of operational enhancements and special projects
Human Resource Management
Ensure the day-to day supervision of the Portfolio Administrators and guide them on resolving problems/issues
Develop and coach employees in order to enhance the operational efficiency of the department (i.e. strategic objectives,
performance evaluation, training and coaching)
Who we are looking for
Bachelor’s degree in Business Administration, Commerce or related field
Enrollment or completion of IFIC/ CSC is an asset
Minimum five years of relevant experience in the administration of securities
Previous supervisory experience is an asset
Demonstrated analytical and problem resolution skills
Proven initiative and continuous process improvement mindset
Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
Ability to foster a positive work climate characterized by a high degree of team collaboration
Strong aptitude for employee coaching and development
Strong leadership and team management skills
Effective communication and interpersonal skills
Superior communications skills in French and English (verbal and written)
Proficient knowledge of Pacer, SSCNet, Recon, Bloomberg, Cashman, etc…
Proficient knowledge of Microsoft Excel and Word
